2024 HOA Candidate Nominations -- Everyone should have received candidate nomination forms at your door, if you didn't and need some, please email us. I hope everyone can at least nominate someone that they think would like to help or even yourself! We can use a lot of help and it doesn't have to be terribly time consuming! ARC committee needs help and more ideas for other committees are welcome!!

2024 Board Election
General Information: After some review of our covenants and TN laws in absence of HOA by-laws it has come to our attention that our election needs to be for 3 Board Members – not for individual Officer roles. Once elected the Board members will decide amongst themselves who is to be President, Secretary and Treasurer. Each Household counts as one vote no matter how many people live there and it must be cast by the record owner. For example - a friend, family member or renter living with you can’t come and cast a vote for you. Each home will get to vote for 3 board candidates.
Proxy votes are allowed. You (the record owner of the property) must fill out and sign the official form. We have included the form with the mailers or you can print out the form from the HOA Website The neighbor you give your proxy vote to must bring the signed form with them to the meeting. Please know this is not a ballot where you can choose your vote and have the proxy deliver your choice, all you are doing is giving permission to someone else to cast a vote as they see fit on your behalf. If you want your voice heard, please attend the meeting. We will be voting on Board Members, ARC Members and the approval of the 2023 Budget.
For ARC you will get to vote on each candidate individually, there is no limit on the number of candidates you can vote for. You can vote Yay or Nay to each candidate listed.
Unfortunately, we have been advised that we can’t accept votes in any other form aside from the official proxy form brought by your designee to the HOA meeting on October 1st at 7pm or you attending the HOA meeting and voting in person. This is not something we have a choice on - it is required by the laws that govern HOA’s in the state of Tennessee.
Annual dues are $300, due by June 1st. The funds are used for payment of HOA bills (electricity, landscaping common areas, post office box rental, etc.), annual corporate fees, and special projects for the benefit of all residents.
At this time, we are only accepting dues via cash or check. We will look into online payments in the near future.
Non-payment of required HOA dues can result in late fees and legal ramifications, including an attachment of lien on your property.
Exterior structural changes or additions need the approval of the Dutchtown Woods Architectural Review Committee (TBD) or the written consent of the HOA Board. For more information, please refer to the Covenants.
We welcome all volunteers for service on the Board and on any Committee. For Board elections, please have a Candidate Nomination Form filled out (scroll up to "Documents for Downloading").
While street parking is not illegal, the Dutchtown Woods HOA Board strongly encourages residents to park in their garage or driveway whenever possible, leaving street parking for guests and contractors. There is no parking RVs or boats on the street or in front of a house, side and back only.
We are currently accepting bids for a new sign and improvements to the look of the front entrance area. Stay tuned for more details!
